Documents
The Documents tab on a member's profile lets you manage files associated with that member. You can upload documents directly, request members to upload files through the portal, and organize everything in one place.
Uploading documents
Click the Upload document button to attach a file to the member's profile. The upload form includes:
- File -- Select a file from your computer. Supported formats are PDF, DOC, DOCX, JPG, JPEG, PNG, and GIF. Maximum file size is 2 MB.
- Description -- An optional label describing the document (for example, "Medical certificate", "Insurance card", "Photo ID").
Uploaded documents appear in the General documents section, organized into two groups:
- Admin-uploaded documents -- Files uploaded by staff through the admin interface.
- Member-uploaded documents -- Files uploaded by the member through the portal.
Each document card shows the file type badge (color-coded: red for PDF, blue for DOC, green for images), the description, and the file size. You can download or delete any document from its card.
Document requests
Document requests let you ask a member to upload a specific document through their portal. This is useful when you need proof of student status for a discounted rate, a medical certificate, an ID for age verification, or any other document the member needs to provide.
Creating a document request
Click the Request document button to open the request form. Select the type of document you need. The request is sent to the member and appears in their portal under the Documents section.
How it works for members
When a member logs into the portal, they see any pending document requests. They can upload the requested file directly from their portal. Once uploaded, the file path and timestamp are recorded on the request.
Automatic document requests
Some document requests are created automatically. When a membership uses a special price that requires proof (for example, a student discount), a document request is created for the member when their membership is set up. This ensures that members on discounted rates are prompted to provide the necessary documentation.
Managing requests
The Document Requests section at the bottom of the Documents tab lists all requests for the member. Each request shows:
- The document type
- The date the request was created
- A reason or note (if provided)
- A download link (if the member has uploaded a file)
- A delete button to remove the request
Portal integration
Document requests appear in the member's portal automatically. You do not need to send a separate notification -- the member sees the request the next time they log in.
Supported file types
Documents can be uploaded in the following formats:
- PDF (.pdf)
- Word (.doc, .docx)
- Images (.jpg, .jpeg, .png, .gif)
All files are limited to 2 MB in size.
