Configure your club
Before you invite members or set up billing, your club needs to be properly configured. This guide walks you through every setting you should review after your first login, from basic club information through to legal documents and appearance customization.
Step 1: Set up general information
Navigate to Settings > General from the sidebar. This is where you configure the core details that appear across the entire platform.
- Enter your club name. This is displayed on the dashboard, member portal, public website, invoices, and contracts.
- Fill in your address (street, city, postal code, and country). The address appears on invoices, contracts, and your public club website.
- Add a contact email. This is the email members and leads use to reach your club.
- Set your timezone. Class schedules, check-in windows, billing, and all time-based operations use this timezone. Make sure it matches your physical location.
Timezone matters
The timezone setting affects when billing runs, when check-in windows open and close, and how membership statuses are updated. An incorrect timezone can cause classes to appear at the wrong time and billing to happen at unexpected hours. Set this correctly from the start.
Step 2: Upload your logo
Still on the General settings page, upload your club logo.
- Click the logo upload area.
- Select a clean, high-resolution version of your logo (PNG or JPG).
- Save the settings.
Your logo is embedded in:
- Membership contracts that members sign during onboarding
- Invoice PDFs
- The public club website
- Email notifications sent to members
Step 3: Configure opening hours
Set your club's operating hours so members and visitors know when you are open.
- Go to Settings > General and find the opening hours section.
- For each day of the week, set the opening and closing times.
- Mark any days your club is closed by leaving them empty.
- Save your changes.
Opening hours are displayed on your public club website so prospective members can plan their visits.
Step 4: Add venues
If your club operates at more than one physical location, add each venue so classes can be associated with the correct site.
- Go to Settings > Venues.
- Click Add venue.
- Enter the venue name (for example, "Main Academy", "Downtown Annex", or "Summer Outdoor Area").
- Fill in the address for the venue.
- Repeat for each additional location.
Once venues are created, you can assign classes to specific venues. The timetable supports filtering by venue, making it easy for members who train at a specific location to see only the relevant schedule.
Single-location clubs
If your club has only one training location, you can skip this step. Classes will be associated with your main club address by default.
Step 5: Customize appearance
Tailor the look and feel of your member portal and public website to match your brand.
- Go to Settings > Appearance.
- Choose your primary brand color. This color is used for buttons, links, and accents throughout the member portal and public website.
- Configure any additional appearance options available, such as header style or layout preferences.
- Save your changes.
The appearance settings ensure that the portal and public website feel like an extension of your club's brand rather than a generic third-party tool.
Step 6: Set up legal documents
Omoplata generates contracts that members sign during onboarding. You need to configure these documents before registering your first member.
- Go to Settings > Legal.
- Review the contract templates available. Contracts are categorized by type -- for example, a membership contract and a trial contract.
- Edit the contract text to reflect your club's terms of service, cancellation policy, liability waiver, house rules, and any other legal requirements.
- Save each contract after editing.
Trial contract
If you accept trial class sign-ups through your public website, configure the trial contract as well.
- Find the trial contract template.
- Write or paste the terms that trial participants must accept before submitting the trial form.
- Save the template.
When a prospective member submits the trial sign-up form on your website, they must accept this contract. A PDF is generated automatically and attached to the lead record.
Review your legal texts carefully
Contract templates are shown to every member during onboarding and to every lead who signs up for a trial class. Have your contracts reviewed by a legal professional, especially if your club is in a jurisdiction with specific consumer protection or liability requirements.
Step 7: Configure date and number formats
Review your regional formatting preferences in the General settings.
- Set the date format used throughout the platform (for example,
DD.MM.YYYYfor European format orMM/DD/YYYYfor US format). - Set the currency your club bills in.
- Save your changes.
These settings ensure that dates on invoices, contracts, and the member portal are displayed in the format your members expect.
